Let me walk you through the seven most common reasons RescueFill Pro stops sending emails — and exactly how to fix each one. No fluff, no guesswork.
1. Your WordPress Server Isn’t Configured to Send Email
This is the #1 culprit. Most cheap shared hosts block PHP mail() or have strict sending limits. WordPress uses wp_mail() by default, which relies on your server’s mail function. If your host blocks it, no email gets through.

Install a free plugin like WP Mail SMTP or Easy WP SMTP. These plugins test your server’s ability to send email. If the test fails, your host is the problem.
The fix
Switch to a transactional email service. RescueFill Pro supports Brevo (formerly Sendinblue) and SendGrid natively. Both are free up to 300 emails/day (Brevo) or 100 emails/day (SendGrid). Configure them under RescueFill → Settings → Email.
If you prefer SMTP, use WP Mail SMTP with your Gmail, Outlook, or custom SMTP server. This bypasses your host’s mail function entirely.
Pro tip: Even if you use Brevo or SendGrid, keep WP Mail SMTP active as a fallback. RescueFill Pro’s native integration bypasses wp_mail(), but other plugins on your site may still rely on it.
2. SMTP Credentials Are Wrong or Expired
You entered your SMTP credentials six months ago and forgot about them. Passwords change. API keys expire. Services update their endpoints.
How to check
Go to RescueFill → Settings → Email. Click Test Connection. If it fails, your credentials are invalid.
The fix
Generate a new API key from your email provider. For Brevo, go to API → Manage API Keys. For SendGrid, go to Settings → API Keys. Copy the new key and paste it into RescueFill.
If you’re using SMTP, verify your SMTP host, port, and encryption. Common settings:
- Gmail: smtp.gmail.com, Port 587, TLS
- Outlook: smtp.office365.com, Port 587, TLS
- SMTP2GO: mail.smtp2go.com, Port 2525, TLS
3. RescueFill’s Email Queue Is Stuck
RescueFill queues emails to avoid overwhelming your server. If a previous email failed, the queue can stall. Subsequent emails get stuck behind it.
How to check
Go to RescueFill → Campaigns. Look for any campaign with status Queued or Failed. Click into it to see individual email statuses.
The fix
Manually trigger the queue by navigating to RescueFill → Tools → Process Queue. This forces RescueFill to retry all queued emails immediately.
If emails continue to fail, check your server’s error logs. Look for wp_mail() failed or connection timed out. Those point to a server-side issue.
4. Your Email Content Triggers Spam Filters
Recovery emails often contain links, urgency phrases like “Act now,” and multiple images. These are spam trigger classics. If your email lands in spam, it’s as good as not sent.
How to check
Send a test email to yourself and check your spam folder. Also use a tool like Mail-Tester.com to score your email’s deliverability.
The fix
Review your email templates under RescueFill → Sequences. Avoid all-caps subject lines, excessive exclamation marks, and spammy words like “free” or “guaranteed.” Keep your text-to-image ratio high — too many images trigger filters.
Also ensure your domain has proper SPF, DKIM, and DMARC records. Most email providers (Brevo, SendGrid) guide you through setting these up. Without them, your emails look like they’re from a stranger.
5. Your Sending Limit Has Been Reached
Brevo’s free plan caps you at 300 emails per day. SendGrid’s free plan caps at 100 per day. If you blast a campaign to 500 leads, only the first 100 or 300 go out. The rest fail silently.
How to check
Log into your email provider’s dashboard. Check your daily sending quota under Statistics or Activity.
The fix
Upgrade your plan or split your campaign into smaller batches. In RescueFill, you can schedule campaigns to send in waves. Go to RescueFill → Campaigns → Edit → Schedule and set a delay between batches.
Alternatively, switch to a provider with higher limits. Mailgun offers 5,000 free emails per month. Postmark is pay-as-you-go but has excellent deliverability.
6. A Plugin or Theme Conflict Is Blocking Emails
Another plugin on your site might be hijacking wp_mail() or blocking RescueFill’s hooks. Security plugins, caching plugins, and even some SEO plugins can interfere.
How to check
Deactivate all plugins except RescueFill and your form plugin (CF7, WPForms, etc.). Send a test email. If it works, reactivate plugins one by one until the issue returns. That’s your conflict.
The fix
If a security plugin like Wordfence or Sucuri is the culprit, add an exception for RescueFill’s email sending. Most security plugins allow you to whitelist specific plugins or functions.
If a caching plugin like WP Rocket or W3 Total Cache is the issue, clear all caches and disable email-related optimizations. Some caching plugins minify or defer scripts that RescueFill needs to send emails.
7. Your License Has Expired
RescueFill Pro requires an active license to send emails. If your subscription lapsed, the plugin stops sending. The dashboard still shows captured leads, but the email engine shuts down.
How to check
Go to RescueFill → License. If it shows Expired or Invalid, that’s your problem.
The fix
Renew your license from your account on themefreex.com. Once renewed, enter the new key in RescueFill → License and click Activate.
If you believe your license is valid but it shows expired, contact support. Occasionally, the license server sync can lag. We’ll fix it within hours.
Prevent Future Email Failures
Once you’ve fixed the issue, take these steps to prevent recurrence:
- Monitor your email provider dashboard weekly. Check for bounces, complaints, and quota usage.
- Set up email alerts in RescueFill. Go to RescueFill → Settings → Notifications and enable Email failure alerts. You’ll get notified the instant a campaign fails.
- Use a dedicated sending domain. Instead of sending from your main domain (e.g., @yoursite.com), create a subdomain like @mail.yoursite.com. This isolates your email reputation from your main domain.
- Test your setup monthly. Send a test email from RescueFill and verify it arrives in your inbox, not spam.
